Cancellation and Refund Policy
Effective Date: 2026. Company: Pollant Travels and Expeditions Ltd.
At Pollant Travels and Expeditions Ltd, we understand that plans can change due to unforeseen circumstances. We strive to be as flexible as possible while respecting the policies of our third-party partners (hotels, airlines, and park authorities).
The following policy applies to all bookings made with us.
1. Cancellation Timeline & Refund Structure
Cancellation requests must be submitted in writing via email to [bookings@pollanttravels.com]. Refunds are calculated based on the date the written notification is received by our team, relative to the scheduled departure date.
Notice Period (Days Before Departure) Refund Eligibility
30 Days or More 100% Refund (Less any non-refundable deposits/bank fees)
15 – 29 Days 50% Refund of the total tour cost
Less than 15 Days No Refund (100% Forfeiture)
No-Show / Late Arrival No Refund
2. Non-Refundable Items (Exceptions)
Please note that certain components of a travel package are paid upfront to third parties and are generally non-refundable regardless of when the cancellation occurs. These include:
• Gorilla & Chimpanzee Tracking Permits: These are government-issued and strictly non-refundable/non-transferable once booked.
• International & Domestic Flights: Refunds are subject to the specific airline’s policy.
• Visa Fees: Payments made for visa processing are non-refundable.
• Bank Transaction Fees: Any transaction costs incurred during the initial payment or refund processing will be deducted from the final refund amount.
3. Rescheduling and Amendments
If you do not wish to cancel but need to change your travel dates:
• More than 30 days notice: We will facilitate a change of dates free of charge, subject to availability. Clients must cover any difference in seasonal rates (e.g., moving from Low Season to Peak Season).
• Less than 30 days notice: Rescheduling may attract a penalty fee or be treated as a cancellation and re-booking, depending on hotel and service provider policies.
4. Refund Processing
Approved refunds will be processed within 14–21 business days from the date of the cancellation confirmation. Funds will be returned to the original method of payment (Bank Transfer/Credit Card).
5. Force Majeure
Pollant Travels and Expeditions Ltd is not liable for cancellations or delays caused by circumstances beyond our control ("Force Majeure"). This includes, but is not limited to: natural disasters, political instability, pandemics, war, or extreme weather conditions.
• In such cases, we will offer a Credit Note valid for 12–24 months for future travel, rather than a cash refund, subject to the agreement of our suppliers.
6. Travel Insurance
We strongly recommend that all clients purchase comprehensive Travel Insurance at the time of booking. This protects you against financial loss in the event of medical emergencies, flight cancellations, or other unexpected reasons for cancellation.
